The model, and what it leaves out
- Every statement row lands in one bucket: sales, refunds, transaction fees, processing fees, listing and renewal fees, Offsite Ads, Etsy Ads, regulatory fees, shipping labels, credits, other. Deposits are payouts of money already counted, so they are excluded. The buckets add up to “Etsy paid you before cost of goods”.
- Per listing, each order's net (sale, fees, labels, refunds) is split across its items by revenue, using the order number in the statement’s Title or Info column. Fees not tied to an order (Etsy Ads, renewals) stay at shop level.
- Profit is that amount minus unit cost × units, except that a fully refunded order returns its units to stock if the box is ticked.
- The take rate excludes shipping labels, because the buyer’s shipping payment is what pays for them.
- Not modelled: your time, materials you have not entered, packaging, sales tax and income tax, currency conversion differences, off-Etsy sales, and partial refunds beyond the refund amount.
Common questions
Can I see profit per listing from my Etsy statement without paying for a tool?
Yes. Download your Payment Account statement (Shop Manager → Finances → Payment account → Download, pick the month or year) and the Sold Order Items file (Shop Manager → Settings → Options → Download Data → Sold Order Items). Drop both in here, type a cost per unit for each listing, and the tool splits every order's sale, fees, labels and refunds across the listings in it.
Why do I need two files?
The statement has every fee and payment but names orders, not products. Sold Order Items names the listing in each order. Joining them by order number is what turns a shop-level fee total into profit per listing. The statement on its own still gives the fee waterfall.
Where do the unit costs come from?
You. Neither Etsy file knows what materials, blanks, printing or packaging cost. Type a cost per unit next to each listing, or paste lines like Personalized Leather Keychain,3.60. Listings without a cost are left out of profit rather than counted as free.
What is the Offsite Ads number?
Etsy charges 12% or 15% of an order it attributes to its off-site advertising. Shops under $10,000 in trailing 12-month sales can opt out at 15%; above that it is mandatory at 12%. The tool sums those charges from your statement and shows them as a share of sales so you can see whether the attributed orders still pay.
Why are shipping labels not in the fee rate?
The buyer's shipping payment is part of the sale total, and labels are how you spend it. Counting labels as an Etsy fee would make a shop that ships heavy things look like it pays a fifth of sales to Etsy. Labels are still in the waterfall and in profit.
What does the tool not see?
Your time, materials you have not entered, packaging, sales tax collected and remitted by Etsy, income tax, currency conversion differences, and anything sold off-Etsy. Rows Etsy files under names this tool does not know are shown as “other” so they are visible rather than lost.
Is this financial advice?
No. It applies arithmetic to the files you provide and does not replace your own records or a qualified accountant.
