FOR PORTABLE SANITATION YARDS

Bid the extra days and the pump-outs, not the Saturday headcount.

Price a porta potty / portable restroom event rental the way the yard actually loses money when it skips the math: every day the boxes sit, every extra pump-out, and two round trips of truck miles. You get the quote, the price per unit-day, and the number below which the job loses money. A starting fleet estimate from attendance is optional — it is not a health-code determination.

The event

Days on site includes drop day and pickup day. Friday drop through Sunday pickup is three days, not one Saturday. Attendance is optional and only used for a starting fleet estimate.

The fleet

One row per unit type. Daily rent is what the box earns sitting; service each is the pump-out price for that type. Starting rates are ballpark figures — replace them with your book.

Haul and costs

Mileage is two round trips: one to drop and one to pick up (four times the one-way miles). A Saturday-special that only prices the event day never sees that line, and it is often the largest cost on a short rental.

Where the money goes

Transparent arithmetic from your own inputs. The starting daily rents, pump-out prices, and fleet estimate are common ballpark figures, not a tariff, a health-code table, or a guarantee. Replace them with your book and confirm local requirements before sending a quote.

Common questions

Why is a Friday-drop, Sunday-pickup weekend billed as three rental days, not one?

Because the unit sits on site and the yard's capital is tied up for every day between drop-off and pickup, not just the day of the event. A flat “Saturday special” that prices only the event day undercounts the rent by however many extra days the box actually occupies the lot.

Does the suggested fleet size tell me how many units my event legally needs?

No. The people-per-unit figures are a starting planning estimate by event length, not a health-department code table or a permit requirement — local ordinances and venue rules may require more (or specify accessible-unit ratios) than this tool suggests. Confirm with your local health authority before finalizing a fleet for a permitted event.

Why does mileage get charged twice?

Delivery is a round trip to drop units off, and pickup is a separate round trip to retrieve them — two trips, not one, even though it's the same event. If your yard also does a mid-event service run, that's an additional round trip the pump-out count should reflect.

Does alcohol at the event actually change the numbers, or is that just a note?

It's a real adjustment: checking it shortens the people-per-unit figure by 20%, which raises the suggested fleet size, because alcohol consumption is a common industry planning adjustment for restroom demand. It is not a health-code rule, just a starting assumption you can override.

Hand the customer a proposal

The price above is for you. This is the page you print or save as a PDF and give to the customer — your details, their details, the scope, the deposit split, and a line for them to sign. Your business details are saved on this device so you only type them once; the customer’s details are never saved.

Everything on the printed page is text you typed or a number this calculator worked out. It contains no warranty, lien, or cancellation wording — those depend on your jurisdiction and your contract, and this tool is not the place to invent them.
