Restaurant bookkeeping: POS and delivery payouts against food costs
A restaurant's bank statement mixes a POS payout, three delivery apps that each pay on their own day, and distributor debits. It is the one place sales and food cost meet, so a monthly profit starts there.
Worked example: one July
The tool ships a synthetic statement for a small restaurant (fixtures/restaurant-checking.csv): four payouts and seven costs. Every line gets a suggested account with no rules taught.
| July 2026 | Amount |
|---|---|
| Toast payout | $4,820.15 |
| DoorDash | $612.80 |
| Uber Eats | $388.45 |
| Grubhub | $274.30 |
| Sales | $6,095.70 |
| Sysco, US Foods (supplies) | −$2,128.58 |
| Toast POS, 7shifts (software) | −$199.99 |
| Pest control (repairs and maintenance) | −$96.00 |
| Health permit (taxes and licenses) | −$275.00 |
| ServSafe (education and dues) | −$45.00 |
| Profit | $3,351.13 |
Payouts are net of each platform's commission, so sales here understate what customers paid; compare with the POS and app sales reports. Payroll is not on this statement, so this is profit before wages.
What the tool does for a restaurant
- Imports the bank CSV and suggests Sales for Toast, DoorDash, Uber Eats and Grubhub payouts.
- Files food-service distributors (Sysco, US Foods, Restaurant Depot, WebstaurantStore) as supplies and POS and scheduling subscriptions as software.
- Reports a P&L, Schedule C worksheet and sales tax return worksheet, and exports QuickBooks, Xero or IIF journals.
Rules are written from company names; no real restaurant's statement has been tried.
Questions
Are DoorDash, Uber Eats and Toast payouts my full sales?
No. Each payout is net of the platform's commission and fees, and Toast and the apps pay on different days. Book the deposit as sales here, then compare each platform's sales report to see the commission and tips; the gap is a cost your statement does not show line by line.
Is a Sysco or US Foods invoice supplies or cost of goods?
The tool files food-service distributors under Supplies (6100) and has no separate cost-of-goods account by design. Restaurants usually report food cost as cost of goods sold, so move those lines if your accountant wants that split.
Is it free?
Yes. It is open source (MIT), runs in your browser and nothing is uploaded.
