Pool service bookkeeping: chemicals, fuel and route software against payouts and customer Zelles
A weekly pool route is paid through route-software payouts and customer Zelles; the costs are chemicals and parts, fuel, route software, insurance and a helper. The bank statement holds both.
Worked example: one November
The tool ships a synthetic statement for a small pool route (fixtures/poolservice-checking.csv): three deposits and nine outgoing lines. Eleven of twelve lines get a suggested account with no rules taught; the warehouse-club run is left for review. Check each one.
| November 2026 | Amount |
|---|---|
| Route-software payouts (Skimmer, Poolbrain) | $3,835.00 |
| Customer Zelle | $420.00 |
| Money in | $4,255.00 |
| Chemicals and parts (Leslie’s, SCP) | −$799.05 |
| Fuel | −$174.20 |
| Route software | −$79.00 |
| Payroll | −$1,120.00 |
| Liability insurance | −$148.00 |
| CPO certification | −$89.00 |
| Warehouse-club run (left for review) | −$96.40 |
| Costs | −$2,505.65 |
| Profit before draw | $1,749.35 |
The $1,000.00 Zelle to the owner is suggested as an owner draw (equity), not a cost. Contractor licensing, chemical handling rules and sales tax on chemicals differ by state: ask an accountant.
Questions
Are pool chemicals a supply or a cost of sales?
The tool files purchases from Leslie's, SCP Pool Corp and similar distributors under supplies. Whether you treat them as cost of sales is your call; ask an accountant.
Is a transfer to myself a cost?
No. A transfer to the owner is suggested as an owner draw (equity), so it does not reduce profit.
