Cleaning business bookkeeping: many small deposits against supplies, fuel and leads
A house-cleaning business is paid by Zelle, a lead marketplace and card processor, in small amounts, and spends on supplies, fuel and a few subscriptions. The bank statement holds all of it, so the month's profit starts there.
Worked example: one September
The tool ships a synthetic statement for a cleaner (fixtures/cleaning-checking.csv): three deposits and six costs. Eight of nine lines get a suggested account with no rules taught; the warehouse-club line is left for you, since it could be supplies or something else.
| September 2026 | Amount |
|---|---|
| Zelle, Thumbtack and Stripe deposits | $1,285.00 |
| Sales | $1,285.00 |
| Sam's Club cleaning supplies (left for you) | −$142.60 |
| Fuel (vehicle and fuel) | −$58.20 |
| Jobber, Gusto fee (software) | −$115.00 |
| Thumbtack lead fee (advertising) | −$48.00 |
| General liability, The Hartford (insurance) | −$84.00 |
| Profit | $837.20 |
Cash tips, wages paid to helpers outside the payroll fee and mileage between jobs are not on this statement. Add trips in the mileage log; the profit here is before them. Only the fuel is booked, so choose actual costs or the standard mileage rate, not both.
What the tool does for a cleaning business
- Imports the bank CSV and suggests Sales for Zelle, Thumbtack and Stripe deposits.
- Files the recurring costs: fuel, scheduling and payroll software, lead fees and liability insurance, and leaves unfamiliar payees such as a warehouse club for your call.
- Reports a P&L and a Schedule C worksheet, with a mileage log and quarterly estimated-tax dates in the tax calendar.
Rules are written from company names; no real cleaning business's statement has been tried.
Questions
Are Zelle payments from clients income?
Yes, payments clients send for cleaning are sales. The importer files Zelle payments from a named person, Thumbtack payouts and Stripe transfers under Sales. Check any Zelle line that is a reimbursement or a personal transfer and move it.
Where do supplies, fuel and a lead-marketplace fee go?
Fuel goes to vehicle and fuel, scheduling and payroll tools to software, Thumbtack lead fees to advertising and liability insurance to insurance. Supplies bought at a warehouse club are left for you, since the payee alone does not say what was bought.
Is it free?
Yes. It is open source (MIT), runs in your browser and nothing is uploaded.
