Amazon seller bookkeeping: split each settlement into sales, fees and ads

Amazon deposits a settlement net of referral commissions, FBA fees, subscription, advertising, refunds and promotions. Book the deposit and your income is low and your expenses are missing. The settlement report has every line.

Worked example: one settlement

The tool ships a synthetic settlement in flat file V2 layout (fixtures/amazon-settlement-v2.txt): two orders, one refund, a subscription fee, an ad charge and an FBA reimbursement, deposited as $350.16 on March 5, 2026. The payout command split the bank line into the following.

Figures from running payouts amazon-settlement-v2.txt --apply and report. Synthetic data, not a real seller.
Settlement 9100001Amount
Sales (item price and shipping, less promotion and refund)$480.00
Reimbursement for lost inventory$12.00
Commissions, FBA fees and subscription−$116.84
Advertising−$25.00
Deposit to the bank$350.16

The $8.00 of sales tax Amazon collected and withheld nets to zero in a sales tax payable account. Booked from the deposit alone, the seller shows $350.16 of income and no expenses; booked from the settlement, $492.00 of income and $141.84 of expenses, the same profit. Amazon's fees and ads are deductible costs, and the gross figure is what a 1099-K reports.

How to book it

  1. Download the settlement report (flat file V2) from Seller Central, and your bank statement.
  2. Import the bank statement in AI Bookkeeper, then run payouts settlement.txt. The settlement's total is matched to the bank deposit and shown as a plan; add --apply to post it.
  3. Check the problems list. A settlement is split only when its rows add up to the summary total. A reserve line or a mismatch is listed and left alone rather than guessed.
  4. Review the account mapping. Override the defaults with --sales, --fees, --tax and --ads if your chart differs.

The layout is written from Amazon's published column names and a hand-written fixture. No real settlement has been tried, so check the totals against your own report.

Questions

Why doesn't my Amazon deposit match my sales?

The deposit is net of commissions, FBA fees, the seller subscription, advertising charges, refunds and promotions. In the worked example, $480.00 of sales and $12.00 of reimbursement became a $350.16 deposit.

What do I do with marketplace facilitator tax?

Amazon collects and remits sales tax in most states. The tool books tax collected and tax withheld to a sales tax payable account where they net to zero, so it does not inflate your sales.

Which Amazon report do I need?

The settlement report, flat file V2 (tab-delimited), or the Seller Central date-range transaction CSV. Both read through the same payouts command.

Is it free?

Yes. It is open source (MIT), runs in your browser or as a command line tool, and nothing is uploaded.
