This calculator vs. Acuity Scheduling

Different jobs: one holds the appointment, the other decides what the missed appointment is worth.

Acuity Scheduling is a well-known appointment-scheduling platform, described on acuityscheduling.com — a booking page clients use themselves, calendar sync, automated reminders, intake forms, and, through a connected payment processor, collecting payment when someone books. It is the kind of tool a trainer, salon, tutor or therapist runs their whole diary through, and the place a cancellation policy is shown to clients when they book.

That is a different job from the one this page does. This calculator has no booking page, no calendar, no client records and no account. It exists for the step that comes before you fill in any of those settings: turning your session price, weekly bookings, no-show rate, notice window and honest waitlist refill rate into a specific fee, an estimate of what the empty slots cost you over a year, and a policy paragraph you can paste into whichever booking system you already use.

What each tool answers

Where to answer each question.
QuestionWhere to answer it
What should the fee actually be, given my price, my no-show rate, and how often I refill the slot? This calculator — it returns a specific number and shows the annual exposure behind it.
Is 24 hours or 48 hours of notice worth more to me? This calculator — the notice-window page prices the extra day against your own waitlist fill rate.
Would overbooking the empty chairs keep more than collecting the fee? This calculator — the overbooking page compares the two on the same book.
Where do clients book, get reminders, and see the policy before they agree to it? A scheduling platform such as Acuity Scheduling — booking pages, reminders and enforcement are jobs this page does not attempt.
How do I take the money, at booking or afterwards? Your scheduling platform and its connected payment processor. This calculator only models which of the two keeps more.
Is the fee lawful and allowed by my processor where I trade? Neither. That is a question for your own advisers and your processor's terms, and no calculator settles it.

The same split applies whatever you book through. Calendly, Mindbody, Square Appointments, Vagaro and a paper diary are all places a policy can live; none of them is where the number comes from. If you already pay for scheduling software, keep it — this page is not an alternative to it, and switching is not the point.

What this page deliberately does not tell you: what any of these platforms cost, which plan includes which setting, or how their cancellation options are configured. Those change, and a stale figure repeated here would mislead you. Check each platform's own site for that, and check this calculator for the number you are going to type in.

Common questions

Should I use this calculator or Acuity Scheduling?

Both, for different jobs. Acuity Scheduling is an appointment-scheduling platform: a booking page clients use themselves, calendar sync, automated reminders, intake forms, and, through a connected payment processor, collecting payment when someone books. This page is none of that. It has no booking page, no calendar, no client list and no account. It answers the one question a scheduling platform asks you rather than answers: what number should the fee be. Put your session price, weekly bookings, no-show rate, notice window and honest waitlist refill rate in, and it returns a specific fee, what the empty slots cost you over a year, and a policy paragraph you can paste into whichever booking system you already use.

Where does the number in a cancellation policy come from?

From you. A cancellation setting in any booking system is a field: a percentage or amount, and how much notice a client has to give. The software then carries that policy and applies it the same way every time, which is genuinely the hard part of collecting anything. What it cannot do is know your refill rate, so the number itself is still yours to decide. That is the gap this calculator fills, and it is why the two sit next to each other rather than competing.

Is this page affiliated with Acuity Scheduling?

No. This site is not affiliated with, endorsed by, or sponsored by Acuity Scheduling or Squarespace, and it is not affiliated with any other booking platform named on this page. Those names appear only to describe what this calculator is and is not. Each is a trademark of its respective owner. Check any platform's own site for what its current plans and settings actually include, because this page deliberately publishes none of their prices or feature details.

Open the no-show fee calculator to work out your own number, then paste the policy it writes into the booking system you already use. Nothing you type is uploaded.
